1. Scope and organisation
Who is responsible for personal data and who this policy covers.
Singapore Shufflers Pte Ltd (“we”, “us” or “our”) operates Run Singapore Rankings and the RSR Challenge Series 5k and RSR Challenge 10k events (the “Events”) and is responsible for personal data handled under this policy. Contact: contact@singaporeshufflers.com.
This policy applies to people whose information is included in the rankings, people who contact us about results or services, subscribers, Event participants, parents or guardians, volunteers, suppliers and Website users. In this policy, an Athlete includes a person included in or contacting us about rankings and a person registered for an RSR Challenge Series 5k or RSR Challenge 10k Event.
We handle personal data in accordance with Singapore’s Personal Data Protection Act 2012 and other applicable laws. This policy explains the purposes for which data is collected, used, disclosed, retained and protected, and how a person may request access, correction or withdrawal of consent.
2. Information collected
The types of information RSR may receive or create.
We may collect or create an athlete’s name, sex, date of birth, age, age category, nationality, Singapore residency-status, club, school, email address, mobile number, race entered and related information (race name, distance, date, climate classification, venue, time and position), age grade, rankings, records, badges, other performance related data and links to source results.
For RSR Challenge Series 5k and RSR Challenge 10k registration, we may collect an athlete’s name, date of birth, age, age-category, sex, club, school, nationality, Singapore residency status, email, mobile number, emergency contact details, registration selections, payment and transaction references, consent records, waiver acceptance, guardian details for minors and operational notes needed to administer the Event.
We may receive emails, form submissions, subscription preferences, correction requests, device or browser information, IP address, cookie data, security logs and website analytics. Payment-card or bank credentials are handled by the relevant payment provider and are not stored by us unless expressly stated.
Information may come from the individual, a person authorised to register them, a parent or guardian, race organisers, timing providers, athletics bodies, clubs, schools, publicly available results, official records, submitted evidence and our own Events. We take reasonable steps to verify and match information before publication.
3. How information is used
The reasons RSR processes personal data.
Information is used to compile, verify, publish, correct and maintain rankings, results, athlete profiles, age grades, performance comparisons, records, badges, club search and historical statistics. It is also used to distinguish athletes with similar names and link results to the correct records.
Registration data is used to process entries and payments, confirm eligibility, communicate Event information, manage capacity, timing, results, transfers, refunds or credits, verify guardian consent, respond to incidents, provide emergency support and meet insurance, venue, safety or legal requirements.
We use contact details for necessary service and Event communications. Optional reminders, posted-results alerts, registration-opening alerts and other marketing messages are sent according to the person’s selected preferences and may be unsubscribed from at any time.
Information may be used to operate and improve the website, understand usage, detect errors or misuse, protect accounts and systems, prevent fraud, keep audit records, respond to enquiries and enforce the Event Terms and Conditions.
4. Public results and rankings
Why sporting information remains visible and how corrections are handled.
Public sporting records may include an athlete’s name, sex, age, age category, nationality, Singapore residency-status, club, school, race related information (including race name, date, place, time, position),age grade, ranking, record, badge and other related performance history. Date of birth, private contact details, emergency details and payment information are not intentionally published.
Results and rankings are maintained as an historical sporting record. A result may remain public after an Event or an athlete stops competing. We may retain source, matching and audit information where reasonably necessary to preserve the accuracy and integrity of the historical record.
An athlete may request correction of inaccurate information. We may ask for reasonable evidence before changing a result, date of birth, nationality, club, identity match or record. Where two people have the same or similar name, we rely on source identifiers, race identifiers and other sporting information to avoid incorrect matching.
We will consider a request to remove or restrict public information in light of the PDPA, the public and historical nature of sporting results, the source of the information, safety concerns and any applicable legal obligation. Removal is not automatic where continued publication is lawful and reasonably necessary for an accurate historical record.
5. Consent and choices
How consent is obtained, withdrawn and recorded.
Consent and acceptance records may be collected electronically and linked to the participant, Event, terms version and privacy-policy version. For a minor, guardian name, relationship, email, telephone number and confirmation or verification may be recorded. A backup consent form may be retained for third-party entries, failed verification, late or manual entries and incomplete online records.
Necessary Event, payment, safety, reminder and results communications are sent to administer a registration. We may also send news about future events where permitted by law. A recipient may unsubscribe from news and promotional communications at any time without stopping essential messages for an Event they have entered.
A person may request withdrawal of consent for future collection, use or disclosure by contacting us. We will explain the likely consequences and process the request within a reasonable period. Withdrawal does not affect processing already carried out lawfully and may prevent us from providing an entry, service or communication preference.
6. Disclosure and overseas transfer
When information may be shared with others.
We may disclose relevant information to hosting, email, analytics, timing, payment, registration, cloud-storage and technical providers; Event venues, officials, marshals, medical providers, insurers and contractors; and professional advisers. They receive only information reasonably needed for their role and are expected to protect it.
Information may be disclosed where required or authorised by law, court order or a public authority, or where reasonably necessary to investigate fraud, protect safety, respond to an emergency, enforce rights or manage a legal or insurance claim.
Some service providers or systems may process or store data outside Singapore. We take reasonable steps to ensure transferred personal data receives a standard of protection comparable to that required under the PDPA, including appropriate contractual or technical safeguards where applicable.
We do not sell personal data to advertisers. Public sporting results are published for rankings and historical-record purposes, not sold as private contact or marketing lists.
7. Protection and retention
How data is safeguarded and how long it is kept.
We use reasonable administrative, technical and physical safeguards appropriate to the nature of the data, including access controls, secure credentials, software updates, backups, payment-provider controls and limits on staff or contractor access. No internet or storage system can be guaranteed completely secure.
Personal data is retained only for as long as reasonably necessary for the stated purpose, legal or accounting requirements, safety, dispute management, fraud prevention and the integrity of the public sporting record. Registration, payment and consent records may be retained for statutory and operational periods; public results and essential matching information may be retained as part of the historical rankings record.
We assess suspected data incidents and take reasonable steps to contain, investigate and remediate them. Where the PDPA requires notification to affected individuals or the Personal Data Protection Commission, we will make the required notification.
8. Access, correction and contact
How to exercise data-protection rights or raise a concern.
A person may ask to access personal data held about them and information about how it has been used or disclosed, or request correction of inaccurate or incomplete data. We may need to verify identity, clarify the request, charge a reasonable fee where permitted or decline an exception recognised by law.
Privacy questions, access or correction requests, withdrawal of consent and complaints may be sent to contact@singaporeshufflers.com. Please provide enough information for us to identify the relevant record and respond. We will investigate and reply within a reasonable period.
We may update this policy to reflect changes in law, services, technology or operating practices. The revised policy will be published on the website. Where a material change requires additional consent or notice, we will take reasonable steps to provide it. Unless stated otherwise, an update takes effect 30 days after publication.
